Privacy Policy

Last updated: September 26, 2026

This Privacy Policy explains what personal data Rendevum.com (the "Service") collects, why, and how it is used, shared, protected and deleted. The Service lets professionals (the "Hosts") publish a booking page, manage their calendar and receive bookings from their clients (the "Guests").

1. Who is responsible

Rendevum.com is operated by Kaizen Talent Labs Ltd, a company registered in the United Kingdom ("we", "us").

Rendevum.com is responsible for the data of Host accounts. For the data Guests enter when booking, the Host decides what to collect and why, and we process it on the Host's behalf to run their booking page. Questions about a booking are best sent to the Host; you can always contact us too.

2. Data we collect

  • Host account data: name, email address, password (stored hashed), company details, working hours, services, event types and settings.
  • Guest booking data: name, email address, the time booked and the time zone, and anything the Host asks for on the booking form (for example phone number, address, company, or an answer to the Host's own question). When the Host requires it, the phone number is confirmed with a one-time code sent by WhatsApp or SMS.
  • Google user data, only if a Host signs in with Google or connects a Google Calendar: see section 4.
  • Payment data: when a Host asks for a deposit, the Guest pays through the Host's own payment provider (their own Stripe or PayPal account, or their own payment link). We keep the amount, currency, reference and status of the deposit. We never receive or store card numbers.
  • Usage data: server logs (IP address, browser, pages requested), used to operate and secure the Service, and cookies (see section 10).

3. How we use this data

  • To run the booking page: show available times, record bookings, prevent double bookings, and let Guests reschedule or cancel.
  • To send the messages a booking needs: confirmations, calendar invitations, reminders, cancellations and deposit notices, by email and, when the Host enables it, by WhatsApp or SMS.
  • To keep the Host's calendar and client list up to date.
  • To secure the Service, prevent abuse and fix problems.

We do not sell personal data. With your consent only, we use advertising cookies to measure which of our own ads bring visitors who sign up (section 10).

4. Google user data

Hosts can sign in with Google and connect Google Calendar. Guests never connect a Google account. When a Host authorizes it, we access the following Google user data through Google's OAuth APIs, only for the purposes below:

  • Basic profile (openid, email, profile): your name, email address and profile photo, used only to create your account and sign you in.
  • Free/busy information (calendar.events.freebusy): the times you are busy, used only to avoid offering times that clash with your existing events.
  • Google Calendar (calendar, calendar.events, calendar.app.created): used to add the appointments booked through the Service to your calendar, update or cancel them when they change, and create a Google Meet link for them when you enable it; to read the events in your calendars so your dashboard shows your agenda and your busy times are blocked; to list your calendars so you can choose which ones to check; and to be notified when your calendar changes so the Service stays in sync.

What we do not do with Google user data: we do not sell it, use it for advertising, or use it to train or improve artificial intelligence or machine learning models. We do not transfer it to anyone except as needed to provide the features above (for example, the time of a booking is shown to the Guest who booked it), to comply with the law, or with your explicit consent. Our staff do not read it, except with your explicit consent (for example, to help with a support request), when needed for security or to comply with the law.

Storage and security: Google access and refresh tokens are encrypted at rest, only ever sent over encrypted connections (HTTPS), and used only by our servers, never exposed in a browser.

Retention and deletion: we keep Google tokens only while your Google connection is active. When you disconnect Google from your settings or delete your account, we delete the tokens, ask Google to revoke them, and delete the copies of your Google Calendar events we had imported to show your agenda. Appointments booked through the Service stay in your account as your own records; the copies of them we had added to your Google Calendar stay in your Google Calendar, where you control them. You can also revoke our access at any time from your Google Account permissions page.

Rendevum.com's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5. Who we share data with

Only with the service providers we need to run the Service, and only the data each one needs:

  • Hosting and email delivery providers, to run the Service and send its emails.
  • Google (Calendar and Meet), for Hosts who connect it, as described in section 4.
  • Services a Host chooses to connect to their event types: WhatsApp (Meta) or Twilio for messages and phone codes, Slack or their own web address (webhook) for booking notifications, and Stripe or PayPal for deposits, on the Host's own accounts. Booking details are sent to them only when the Host has switched them on.
  • Google Analytics, only if you accept analytics cookies (section 10).
  • Google Ads and Meta, only if you accept marketing cookies (section 10), to measure which of our ads lead to sign-ups and subscriptions. They are never used on the booking pages Hosts share with their clients.
  • Authorities, when the law requires it.

6. Data retention

We keep Host account data while the account is active. Booking data is kept in the Host's account as their appointment history until the Host deletes it or closes their account. One-time phone codes expire within minutes and are deleted automatically. Server logs are kept for a limited time for security.

7. Security

We use encrypted connections (HTTPS), hashed passwords, encryption at rest for access tokens and other secrets, and access controls so each Host only sees their own company's data. No system is perfectly secure, but we work to protect your data and will inform you as required by law if a breach affects it.

8. Your rights

Depending on where you live, you can ask to access, correct, export or delete your personal data, and object to or restrict some processing.

  • Hosts can edit their data and delete their account at any time from their account settings.
  • Guests can cancel a booking from the link in their confirmation email, and can ask the Host, or us, to access or delete their data.

For any request, contact us at [email protected]. We answer within 30 days and may need to confirm your identity first.

If you are not satisfied with our answer, you can complain to the UK data protection regulator, the Information Commissioner's Office: ico.org.uk.

9. Children

Host accounts are for people aged 16 or over. We do not knowingly collect data from children under 16 except when a parent or guardian books an appointment on their behalf.

10. Cookies

We use essential cookies to keep you signed in, protect forms against forgery and remember your language; they cannot be turned off. With your consent, we also use Google Analytics cookies to understand which pages are useful, and marketing cookies from Google Ads and Meta to measure which of our ads bring sign-ups. You can change your choice at any time from the cookie settings.

-- reopen the cookie banner to change your choice at any time.

11. International transfers

Your data may be processed in countries other than yours by the providers listed in section 5. Where the law requires it, we rely on appropriate safeguards for these transfers.

12. Changes to this policy

We may update this policy. We will change the date at the top and, for important changes, tell Hosts by email or in the Service.
