This Privacy Policy explains what personal data Rendevum.com (the "Service") collects, why, and how it is used, shared, and protected. It applies to both Employer accounts and Candidate accounts.
Depending on how you use the Service, we collect:
We use your data to: operate and improve the Service; match and evaluate candidates against jobs and assessments; enable Employers to review applications and make hiring decisions; process payments; send transactional emails (invitations, reminders, results); and, only for accounts that gave consent to marketing, send occasional product updates.
Candidate application data (resume, answers, scores, assessment integrity summary, AI interview results) is shared with the Employer(s) you applied to or were invited by. It is not shared with any other Employer.
We also share limited data with service providers strictly to operate the Service: Stripe (payments), our email delivery provider (transactional email), Google (calendar/meeting integration, and, only if an Employer explicitly opts in, automated reading of a connected company mailbox for candidate intake), LinkedIn (job publishing, only for Employers who choose to publish there), Ollama (our AI provider, used to hold the AI interview conversation, review/extract information from resumes, generate interview questions, and power an HR help chatbot), and ElevenLabs (converts AI-generated interview questions into spoken audio played to candidates -- only the question text is sent to ElevenLabs, never a candidate's answers). These providers are only given the data needed to perform their function and are not permitted to use it for their own purposes; per their published policies, neither Ollama nor ElevenLabs uses the data we send them to train or improve their AI models.
Some of our AI/ML processing is self-hosted instead of sent to a third party: speech-to-text transcription of interview audio, candidate-to-job matching, and resume text extraction run on infrastructure we operate ourselves, and that data is never transmitted to an external AI vendor.
We do not sell personal data.
If you sign in with, or connect, a Google Account, we access the following Google user data through Google's OAuth APIs, and only for the purposes described below:
Sharing of Google user data: data obtained via Google is visible only within your own company's account (to your authorized HR team members) or, for identity data, to the Employer you applied to. Resumes and application content imported from a connected mailbox are processed the same way as directly-uploaded resumes, including by the AI providers described in Section 3, in order to extract candidate information -- we do not otherwise transfer, disclose, or sell Google user data to any third party, and we never use it for advertising.
Security for sensitive data: Google OAuth tokens are stored encrypted at rest, transmitted only over HTTPS/TLS, scoped to the minimum permission required for the feature that requested them, and accessible only to the backend services that need them -- never exposed to end-user browsers or to company members other than the connecting admin. Access can be revoked at any time from the Service's Settings or directly from your Google Account permissions page.
Retention and deletion of Google user data: OAuth tokens are retained only while a Google connection is active. Disconnecting Google Calendar or the company mailbox from Settings, or deleting your account, immediately deletes the stored token(s) and triggers a best-effort revocation with Google. Candidate data already imported before disconnection is retained per Section 5 below and can be deleted on request.
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
We retain account and application data for as long as your account is active, or as needed to provide the Service (for example, so a Candidate's application history remains visible to them and to the Employers they applied to). You can withdraw an application at any time from your applications list. You may request deletion of your account and associated personal data at any time — see Section 7.
We use industry-standard measures to protect your data, including encrypted connections (HTTPS), hashed passwords, and access controls that scope Employer access to their own company's candidates and jobs. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
Depending on your location, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing.

We use essential cookies to keep you signed in, protect against cross-site request forgery, and remember your language preference — these can't be turned off without breaking the Service. With your consent (see the cookie banner shown on your first visit, or "Cookie Settings" below), we also use Google Analytics to understand which pages are useful; this sets analytics cookies only after you accept them. We do not use third-party advertising cookies.

The Service is not directed at individuals under 16, and we do not knowingly collect personal data from them.
Your data may be processed in countries other than your own, including by the service providers listed in Section 3. Where required, we rely on appropriate safeguards for such transfers.
We may update this Privacy Policy from time to time. Material changes will be announced on the Service or by email.
